Polymer Competence Center Leoben GmbH (PCCL) is the controller within the meaning of the General Data Protection Regulation (GDPR) and operates the conference website www.ypra.at for the purpose of organizing and holding the YPRA conference.

 

  1. General information on data processing

We process personal data exclusively in accordance with the provisions of the GDPR and the Austrian Data Protection Law (DSG).

When you use the website, your IP address is recorded.

Further personal data is only collected if you provide it yourself when signing up, registering for a conference, submitting a paper, or contacting us.

No cookies are used on the website and no tracking or profiling takes place.

 

  1. Data processing when using the website

The website is hosted by Converia GmbH as a provider with a server location (ISO 27001 certified) in Germany. A data processing agreement in accordance with the GDPR has been concluded with Converia GmbH.

When you simply visit the website www.ypra.at, the hosting provider automatically processes the following data (server log files):

  • IP address of the requesting device
  • Date and time of access
  • Name and URL of the file accessed
  • Amount of data transferred
  • Notification of successful access
  • Browser type and version, and operating system

This data is technically necessary to ensure the operation of the website.

Legal basis: Art. 6 (1) lit. f GDPR (legitimate interest in the technical security and stability of the website).

 

  1. Links and Social Media

We accept no responsibility or liability for content on pages linked to from this website or from any other website. Please refer to the respective external website for information on its data protection measures. You can use our website without clicking on the respective links/buttons.

When accessing content on social media platforms (e.g., LinkedIn, Instagram, Facebook), the privacy policies of the respective providers/platforms apply. PCCL has no influence on the data processing of these platforms. Nevertheless, we are aware of our role as “joint controller” with these platforms and have entered into corresponding agreements in accordance with the GDPR.

 

  1. Communication via email

If you voluntarily contact us via email and provide us with personal data (e.g., name, email address) in this way, we will process this data in order to respond to your request. We will also send information about the conference, confirmations, invoices, etc. to the email address you provide.

  1. Registration and user accounts

A user account is required to register for certain conference functions (e.g., paper submission or participation management). Required fields are:

  • User name
  • Password
  • Email address
  • First and last name
  • Street, zip code, city, state

Legal basis: Art. 6 (1) lit. b GDPR (performance of a contract) – processing is necessary to provide your account and manage your conference participation.

You can change your login details at any time in your user profile or have your account deleted (by emailing ypra@pccl.at).

 

  1. Conference registration

When registering to participate in the YPRA conference, the following data will be processed:

  • Email address
  • Title, first and last name
  • Street and house number, postal code, city, country
  • User name and password
  • Selection of ticket type
  • Acceptance of the terms and conditions

This data will be used exclusively for the purpose of holding the conference, creating name badges, managing participation, and invoicing.

After registration, the invoice will be sent manually by email by the responsible PCCL employee.

  1. Usage of the conference platform (Converia)

We use the conference management software Converia from Converia GmbH, Weimar, Germany, to manage participant data, ticket bookings, and abstract submissions.

Converia processes personal data exclusively on behalf of and on the basis of a data processing agreement in accordance to the GDPR.

The General Terms and Conditions and Privacy Policy of Converia (available here: https://www.converia.de/de/datenschutz.html ; and: https://www.converia.de/de/agb.html) also apply.

The data will be used exclusively for the organization of the conference and will be deleted after the event in accordance with the statutory retention periods.

 

  1. Paper-Submission

Registered users can submit scientific articles. The following data is processed:

  • User name and password
  • Email address
  • Title, first name, and last name
  • Street and house number, postal code, city, country
  • Title of the contribution
  • Type of presentation
  • Name of the authors
  • Abstract (uploaded file)

This data is used for scientific review, program planning, and publication in the digital Book of Abstracts. The data provided will also be published in this digital Book of Abstracts. By submitting their work, authors agree to this publication.

Legal basis: Art. 6 (1) lit. b GDPR (holding of the conference) and Art. 6 (1) lit. f GDPR (scientific exchange).

 

  1. On-site appearance of participants

The names of participants will be used for organizational purposes during the conference, in particular for:

  • Creation and handing out of name badges (mandatory to wear during the event)
  • Publication of names in the digital Book of Abstracts (downloadable on www.ypra.at)
  • Visibility of names in presentations, posters, social events, and during the award ceremony

Legal basis: Art. 6 (1) lit. b GDPR (participation agreement) and Art. 6 (1) lit. f GDPR (public presentation of scientific contributions).

 

  1. Photo and video recordings

During the conference, photos and videos will be taken and may be published on social media channels (LinkedIn, Instagram) and on the YPRA and PCCL websites.

These are used for documentation and public relations purposes.

Legal basis: Art. 6 (1) lit. f GDPR (legitimate interest in public relations).

If you do not wish to be photographed or filmed, please let us know at check-in or by emailing ypra@pccl.at.

 

  1. Publication of award winners

The winners of the poster and talk prizes will be announced by name on the PCCL website and social media channels, as well as on the channels of cooperation partners, including photos or videos where the case may be.

Legal basis: Art. 6 (1) lit. f GDPR (legitimate interest in the public recognition of scientific achievements).

 

  1. Storage duration

The website www.ypra.at will remain online for approximately one year after the event.

After this period, personal data will be deleted. Data (e.g., participant lists, abstracts, etc.) used for follow-up, billing, or documentation purposes may be transferred to an internal PCCL transfer drive after the conference. Access is restricted to authorized PCCL employees.

Data which are subject to statutory retention periods will be stored for a correspondingly longer period (e.g., invoice data for the fulfillment of statutory accounting and retention obligations in accordance with § 132 BAO for 7 years).

 

  1. Recipients of the data

Your personal data will only be shared with the following recipients:

  • Converia GmbH, Weimar (Germany) – for technical handling of participant management and web hosting
  • Internal PCCL staff – for organization, accounting, communication
  • IT service providers – for technical provision of the website and conference IT on site
  • Cooperation partners – for organizing and promoting the conference

No data is transferred to third countries outside the EU.

The website uses the latest technical and organizational security measures to protect your data against loss, manipulation, or unauthorized access.

All data transfers are carried out via an encrypted HTTPS connection.

 

  1. Updates to this privacy policy

This privacy policy may be adapted in the event of changes to the legal situation or the conference organization.
